Form access & scheduling

You can control when your forms accept responses by closing them manually or setting scheduled open and close times. This is useful for deadlines, limited-time surveys, or when you need to temporarily stop collecting responses.

To configure access settings for your form:

  1. Open your form in the editor

  2. Click the Settings tab in the right sidebar

  3. Find the Access section

  4. Configure your availability preferences

Sometimes you need to stop accepting responses immediately. Manual closing gives you instant control over form availability.

  1. Go to SettingsAccess

  2. Toggle Close form to on

  3. The form immediately stops accepting new responses

  1. Go to SettingsAccess

  2. Toggle Close form to off

  3. The form immediately starts accepting responses again

For time-sensitive forms like event registrations, limited-time surveys, or seasonal campaigns, scheduled access automatically opens and closes your form at specified times.

Set a future date and time when your form should start accepting responses. Until that time, visitors will see a “form not yet open” message.

Use cases:

  • Product launch feedback forms
  • Event registration that opens at a specific time
  • Surveys that should start on a particular date
  • Coordinated campaign forms

To schedule a form to open:

  1. Go to SettingsAccess

  2. Enable Schedule open

  3. Select the date and time when the form should open

  4. Save your settings

Set a date and time when your form should automatically stop accepting responses. After this time, visitors will see a “form closed” message.

Use cases:

  • Application deadlines
  • Limited-time offers
  • Contest entry periods
  • Survey collection windows

To schedule a form to close:

  1. Go to SettingsAccess

  2. Enable Schedule close

  3. Select the date and time when the form should close

  4. Save your settings

You can use both scheduled open and close times together to create a specific availability window.

Example scenarios:

ScenarioOpenClose
Weekend surveyFriday 5:00 PMMonday 9:00 AM
Event registration2 weeks before eventDay before event
Flash feedbackProduct launch time24 hours later
Application periodJanuary 1stJanuary 31st

When someone tries to access a closed form, they see a friendly message indicating the form is not currently accepting responses.

The closed form page displays:

  • A clear message that the form is closed
  • The form name (so users know they’re in the right place)
  • Your branding (if configured)

Your form’s current access status is visible in the editor and dashboard:

StatusMeaning
OpenForm is accepting responses
ClosedForm is manually closed
Scheduled to openForm will open at the scheduled time
Scheduled to closeForm will close at the scheduled time
Closed (scheduled)Form was automatically closed by schedule

Plan ahead for deadlines. Set up scheduled closing well in advance of important deadlines to avoid last-minute issues.

Communicate availability. Let your audience know when forms will be available, especially for time-sensitive submissions.

Test scheduled forms. For critical forms, test the scheduling by setting a close time a few minutes in the future, then verify it works correctly.

Consider time zones. If your audience spans multiple time zones, clearly communicate the deadline in a specific timezone (e.g., “Closes January 15th at 11:59 PM EST”).

Use manual close for emergencies. If you need to stop accepting responses immediately (e.g., you’ve reached capacity), use manual close rather than waiting for a scheduled close.

Keep forms accessible. Avoid unnecessarily restrictive access windows. Give respondents reasonable time to complete your forms.

  1. Create your registration form

  2. Set Schedule close to the registration deadline

  3. Publish the form

  4. Share with potential attendees

  1. Create your survey

  2. Set Schedule open to your launch date

  3. Set Schedule close to your end date

  4. Publish the form (it won’t be accessible until the open date)

  1. Toggle Close form to on

  2. Make your updates

  3. Test thoroughly

  4. Toggle Close form to off when ready

  • Check if a scheduled close time has passed
  • Verify no one else with access manually closed the form
  • Review the access settings for any misconfiguration
  • Confirm the date and time are set correctly
  • Check your account timezone settings
  • Ensure the form is published (scheduling only works on published forms)
  • Clear any cached versions of the form
  • Verify the close setting saved correctly
  • Check if users have a direct link to a cached version
