Archiving and deleting forms

As your form library grows, you’ll want to keep it organized. Archiving lets you hide forms you’re no longer using while preserving all their data. For forms you truly don’t need anymore, deletion permanently removes them from your account.

Understanding the difference between archiving and deleting helps you choose the right option:

ActionReversibleData PreservedForm Accessible
ArchiveYesYesNo (can restore)
DeleteNoNoNo (permanent)

Archive when you might need the form or its data later. Delete only when you’re certain you’ll never need the form again.

Archiving removes a form from your active forms list while preserving everything about it—responses, settings, design, and version history.

Consider archiving a form when:

  • A campaign or event has ended
  • You’re running seasonal forms between uses
  • You want to declutter your dashboard
  • The form is no longer needed but data should be kept
  • You’re unsure whether you’ll need the form again
  1. Open the form you want to archive

  2. Go to Settings in the right sidebar

  3. Scroll to the form management section

  4. Click Archive form

  5. Confirm the action in the dialog

When you archive a form:

  • The form moves to your Archived section
  • It disappears from your main forms list
  • The public URL becomes inactive
  • Visitors see a “form closed” message
  • All responses remain safely stored
  • All settings and design are preserved
  • Version history is maintained

Your archived forms are stored separately from active forms to keep your dashboard clean.

  1. Go to your forms dashboard

  2. Look for the Archived tab or filter

  3. Click to view all archived forms

  4. Browse or search your archived forms

While a form is archived, you can:

  • View the form and its settings
  • Access and export all responses
  • Review version history
  • Restore the form to active status
  • Permanently delete the form

You cannot:

  • Collect new responses (the URL is inactive)
  • Edit the form (restore it first)
  • Share the form publicly

Restoring brings an archived form back to your active forms list, ready to be published again.

  1. Go to your forms dashboard

  2. Switch to the Archived tab

  3. Find the form you want to restore

  4. Click the Restore button

  5. The form returns to your active forms

When you restore a form:

  • It appears in your main forms list again
  • The form is in draft/unpublished status
  • You can edit and update the form
  • Publish when ready to start collecting responses
  • All previous responses are still accessible

Deletion permanently removes a form and all its associated data. This action cannot be undone.

Only delete a form when:

  • You’re absolutely certain you don’t need it
  • You don’t need any of the collected responses
  • The form was created by mistake
  • You want to permanently remove all traces of the form
  1. Open the form you want to delete

  2. Go to Settings in the right sidebar

  3. Scroll to the form management section

  4. Click Delete form

  5. Type the form name to confirm

  6. Click Delete permanently

To prevent accidental deletion, Fomr requires you to type the form name before deleting. This extra step ensures you’re deleting the correct form intentionally.

When you delete a form, the following are permanently removed:

  • The form itself (all pages and components)
  • All collected responses
  • All form settings and configurations
  • Design and theme customizations
  • Version history
  • The form URL (becomes permanently unavailable)

Archive first, delete later. When in doubt, archive instead of delete. You can always delete an archived form later, but you can’t recover a deleted one.

Export data before deleting. If you need to delete a form but want to keep the responses, export them first from the Responses tab.

Use archiving for seasonal forms. If you run the same form annually (like a yearly survey), archive it between uses rather than creating new forms each time.

Clean up regularly. Set a reminder to review your forms periodically. Archive forms you’re done with to keep your dashboard manageable.

Consider your team. If others have access to a form, communicate before archiving or deleting to avoid confusion.

Document important forms. Before archiving long-running forms, consider exporting responses and noting any important settings for future reference.

A well-organized form library makes your work easier:

  • Active forms: Forms currently in use or being developed
  • Archived forms: Completed campaigns, seasonal forms, or forms on hold
  • Delete sparingly: Only remove forms you’re certain you’ll never need
  1. Create and publish forms as needed

  2. When a form’s purpose is complete, archive it

  3. Periodically review archived forms

  4. Delete only forms you’re certain about

  5. Export important data before any deletion

  • Make sure you’re viewing the Archived tab
  • Try searching by form name
  • Check if the form was deleted instead of archived
  • Clear your browser cache
  • The cached version may still be visible temporarily
  • New visitors will see the “form closed” message
  • Go to the Archived tab
  • Find the form and click Restore
  • The form returns to your active list immediately

Unfortunately, deleted forms cannot be recovered. This is why we recommend:

  • Always archive first if you’re unsure
  • Export responses before deleting
  • Use the confirmation step carefully
